About

Administration Division is an agency within the Financial Division. It is responsible for documents management including issuing, filing, storing, and destroying documents. It analyzes and summarizes letters of feedback from agencies outside the University concerning financial rules and regulations, and procurement. The results are then presented to the directors who issue order to circulate the letters to offices and departments of Chiang Mai University. The responsibilities of Department of Administration are as follows.

Responsibilities





  • 1. Manage incoming and outgoing letters and document’s registration number 
- Department of Administration is responsible for receiving documents of every faculty, department, and division of Chiang Mai University (approximately 76 offices) and from individuals and officers outside the University. The documents include debt warrants for disbursement, documents about finance, procurement, rules and regulations. Data were recorded on CMU MIS in the section of debt warrants and document tracking system which can be looked up later. After being recorded, information was then sent to responsible officer of each department.
- Department of Administration is responsible for issuing registration number for outgoing letter and recording data in order to issue report of outgoing letter delivered from Financial Division to faculties, departments, and divisions of Chiang Mai University, and individuals and agencies outside the University. Letters are signed by officers of the University as evidence. Data were recorded on CMU MIS under the section of debt warrants and document tracking system.
- Department of Administration is responsible for recording data and issuing report for letter to the Executives (President and Vice President for Financial and Property Management, and Director of Office of University) and delivering the letter to the secretaries of Executives. The letter that is approved by the Executives is registered at the General Division and sent to the responsible individual within the Financial Division or returned to faculties, departments, and divisions for further procedure.

2. Analyze and summarize documents on financial and procurement rules and regulations
 Department of Administration is responsible for analyzing and summarizing letters from outside agencies such as Ministry of Finance, … about financial and procurement rules and regulations. Summary of content is presented to the Executives for further order. The order is then circulated within every office of the University and at the Financial Division’s website at hhtp://finance.oop.cmu.ac.th under the section of circulated letter.

3. Manage of Human Resource of the Financial Division
Department of Administration is responsible for hiring employees, evaluating employees’ performance, etc.
  • 4. Attend personnel management regarding sign-in sheet and errand leaves of employees of the Financial Division
  • 5. Propose for insignia
  • 6. Create and update website of the Financial Division
  • 7. Publicize news and information of the Financial Division via website at http://finance.oop.cmu.ac.th
  • 8. Publicize TOR received from faculties, departments, divisions of the University, and Department of Procurement, Financial Division on website of the Financial Division at http://finance.oop.cmu.ac.th and on website of the University. Department of Procurement, Financial Division is responsible for the next procedure.
  • 9. Publicize the rules/regulations/announcement of the University on finance and procurement (categorization of income-outcome of the University) on website of the Financial Division at http://finance.oop.cmu.ac.th
